Senior Medical (Naturopathic) Receptionist and Clinic Manager

Somerset Health & Wellness Centre

We’re a well-established naturopathic and holistic wellness clinic in Ottawa. We’re looking for a highly personable and talented Receptionist / Clinic Manager to join our team as the front face of our amazing clinic. 

In this role you’ll wear many different hats! We’re a small business and are constantly responding to the diverse needs of the clinic as they arise. One minute the printer may need some tending to, the next moment a patient may have a question, and in the next moment the internet is down.

About the Somerset Health and Wellness Center

The Somerset Health and Wellness Center is an innovative family-friendly health clinic offering naturally focused solutions to many health problems.. Our clinical team includes naturopathic doctors, therapists, nutritionists, acupuncturists and osteopaths.   We combine evidence-based medical treatment with Complementary and Alternative Medicine (CAM) therapies and innovative approaches to whole-person care. Our patients and staff enjoy a caring and supportive work environment in a friendly clinic that promotes health and well-being.

We are inviting applications for the position of Senior Receptionist and Clinic Manager. If successful, you will be responsible for managing day-to-day operations and implementing changes and special projects to ensure that the administrative team achieves organizational goals in pursuit of our vision and mission. Your work will be self-directed and independent but you will report to the clinic owner and medical director.

 

THE IDEAL CANDIDATE WILL HAVE EXPERIENCE IN RUNNING MEDICAL, DENTAL OR HEALTHCARE FACILITY.

 

Duties and Responsibilities

  • Human resource management, including strategic planning, job descriptions, contracts, recruitment, evaluation, mentoring and support, occupational health and safety
  • Financial management, including supervision of payroll, bill payment, bookkeeping, accounting and the development and maintenance of an annual budget
  • Operational management, including developing and reviewing procedures for facility maintenance, reception, administrative, and clinical tasks with special attention to compliance with regulatory requirements
  • Outreach and communications initiatives directed at patients and other stakeholders, including healthcare organizations, hospitals, outpatient clinics, insurers, medicolegal and providers using a strategic approach that leverages events, print, online and social media, website and digital marketing management
  • Strategic planning, including scheduling and contributing to annual and quarterly reviews of our strategic vision, mission, goals and deliverables
  • Develop and maintain management systems that include finance, human resources, operations and marketing checklists and controls
  • Proactively identify gaps and propose solutions for continuous improvement of capacity and quality of patient care and performance and planning and development of special projects and new initiatives
  • Foster a positive culture that emphasizes teamwork, caring and a commitment among all staff to the goals of the organization and of each individual

 

Education and Experience

  • Bachelors degree
  • Demonstrated experience in the area of management and operations management
  • Project Management experience
  • Demonstrated experience in community and/or clinical settings
  • Demonstrated ability to work independently
  • Demonstrated sound judgment and problem solving ability
  • Current Ontario Drivers’ License and access to a vehicle
  • Canadian residency mandatory

 

The knowledge and skills we are looking for include:

  • Superior leadership, organization, evaluation, communication and interpersonal skills
  • Possess organization, communication, leadership, coaching and delegation skills
  • Proficiency in the use of the computer hardware and software, particularly in Microsoft Word and Excel
  • Desire and ability to update knowledge and skills through various means including technology-based opportunities, courses, workshops and conferences
  • Excellent verbal and written communication skills
  • Exhibit an ability to be open and non-judgmental
  • Excellent human resource knowledge and management skills

Financial Responsibility:

Responsible for helping set and manage budgets, manage day to day billing and report to the directors as required.

 

Compensation: Range based on experience.

Part-Time Medical (Naturopathic) Receptionist

Responsibilities:

  • Greet patients and visitors with courtesy and kindness at all times
  • Schedule and confirm appointments for patients
  • Explain services offered by the clinic to potential new patients
  • Collect payment for services and natural health products
  • Maintain forms and office supplies required for front desk activities
  • Ensure the reception area is ready for each working day; open the clinic at the designated time and have all front desk activities fully operational at the start of business hours
  • Clerical duties such as filing, distributing mail, data entry
  • Assist the doctors with product research and preparation of marketing materials
  • Support the operation of our retail arm
  • Communicate with other health clinics in requesting and sharing medical records
  • Help supervise Ginger, our clinic dog.
  • Help maintain a peaceful healing environment where patients feel welcome

 

Qualifications:

  • Administrative experience, ideally as a medical admin
  • Top-notch computer skills; able to learn new software quickly (we use Jane, MS Office, Google Calendar, Google Drive)
  • Excellent communication and interpersonal skills
  • Bilingualism is a big asset
  • Warm, outgoing personality
  • Ability to interact effectively and in a supportive manner with people of all backgrounds
  • Discrete and trustworthy; you will often be party to confidential information
  • Excellent telephone skills and etiquette
  • Ability to work well under pressure and multi-task
  • Ability to work in a team environment
  • Good judgement and decision-making skills
  • Excellent memory and attention to detail
  • Personal or professional experience with naturopathic medicine is an asset
  • Love of dogs – we have a therapy dog in the office
  • CPR Certification is an asset
